2004 ANNUAL STATEWIDE CONFERENCE 2004 Annual Statewide Conference, Delray Beach VOLUNTEER JOB DESCRIPTIONS Registration Area A concierge table should be set up, with two volunteers to man the table during the entire conference. Usually, this table serves as an information booth about the host city. Volunteers will be asked various questions, mostly regarding the availability of parking, directions to events and places to eat and shop. Bookstore/Gift Shop Volunteers will staff the Bookstore/Gift Shop. Responsibilities will include working with money (i.e. cash register, visa machine), assisting customers. Special Events Volunteers will be needed to take tickets at the entrance of each event site. They will also serve as greeters to answer questions regarding parking, directions, program schedule, etc. The Trust will issue tickets for each and every event during this meeting to monitor attendance numbers. Tours One volunteer will be needed for each tour. Duties will include directing conference attendees to the correct bus, collecting tour tickets, and accompany the Tour to help keep the group together(and on time!) Workshops Volunteers will be needed to assist the Workshop Chairman. Duties will include directing conference attendees to the correct meeting rooms, ensure that the room set up is correct with required AV Equipment, distribute the CEU credit forms, and see that each workshop runs smoothly. B. Bookstore/Gift Shop: 7:30 A.M. -4:30 P.M. Two volunteers will be needed to staff the gift shop. C. Workshops (these will occur all day, and volunteers can be assigned to each seminar) One volunteer per workshop to assist Workshop Chairman, to collect tickets, serve as greeters, and help distribute workshop materials, etc. • D. Tours: 1:00 PM- 5:00 PM One volunteer per tour to assist in loading passengers, collecting tour tickets and assisting the Tour Leader(and keeping the people moving so we stay on time!) E. Opening Reception: 5:30—7:30 PM Four volunteers to collect tickets for this event, assist Special Events committee, serve as greeters. IL Friday,May 14,2004 A. Awards Ceremony&Reception, 6:00- 10:00 PM Six volunteers to collect tickets for this event, assist Special Events committee, serve as greeters. III. Saturday,May 15,2004 A. Bookstore/Gift Shop: 7:30 A.M. -4:30 P.M. Two volunteers will be needed to staff the gift shop. B. Tours: 8:00 -4:30 P.M. One volunteer per tour to assist in loading passengers, collecting tour tickets and assisting the Tour Leader. C. Final Gala Closing Event: 6:00—9:00 P.M. Four volunteers to collect tickets for this event, assist Special Events committee, serve as greeters. The Volunteer Committee will need to coordinate with the Tours Chairman, the Workshop Chairman and the Special Events Chairman to ensure that all events run smoothly. The chairmen of these committees may require additional duties for volunteers. *Note: These times and volunteer numbers are subject to change if this schedule is altered or if the number of registrants far exceeds current expectations.
