SUBJECT: MINUTES/HISTORIC PRESERVATION BOARD
In reference to your memo of March 6, 1989, regarding Board
Secretary assistance to the Historic Preservation Board' s regular
monthly and special meetings, this is to advise that due to the
extreme workload the Board Secretary is experiencing with six
boards and committees averaging 7 to 8 meetings a month, at this
time it is impossible to expect her to take on this added work-
load. The three to four hour duration of the meetings you
mentioned would greatly impact, not only the Board Secretary ' s
work, but the other personnel in the City Clerk' s Office. We are
understaffed at present and with the amount of meetings that we
are attending and transcribing for the Commission plus the work
involved with the preparation for the Municipal Election, makes
it impossible for us to take on any additional work.
At the present time we have one regular employee in this office
assisting the Board Secretary in preparing minutes and all the
attendant correspondence required by the various boards . In
addition, three other employees are continually trying to keep up
with the transcribing of minutes of the Regular, Special and
Workshops held by the City Commission. This is in addition to
the other duties and functions that they are required to carry
out in this office.
With regard to your comment as to the City Clerk' s Office being
responsible for providing support for the City boards , it is
unreasonable to expect one Board Secretary to attend all the
meetings of the boards and committees throughout the City.
Therefore, it is physically impossible to accommodate this
request. I am sorry that we are unable to assist in this regard,
but with the limited staff in this office it is not possible at
this time .
