PW-5 Rev.1 Damage to City VehiclesCITY OF DELRAY BEACH ADMINISTRATIVE POLICIES AND PROCEDURES DEPARTMENT: SUBJECT: REVISION: APPROVED BY: PURPOSE Public Works Damage to City Vehicles; Advertising on City Vehicles; and New Vehicle Acceptance an Re istration POLICY NUMBER:PW-5 SUPERSEDES:PW-5 Rev.0 EFFECTIVE DATE:1/26/2022 ence R.Moore,ICMA-CM,City Manager To establish a standard procedure for reporting damage and obtaining repair estimates for all City-owned vehicles,advertising on City-owned vehicles for accepting/receiving new vehicles into the City fleet,and for obtaining registration for new vehicles in the City fleet. POLICY Vehicle Damage: Any vehicular damage,whether it be cosmetic or mechanical in nature,with the exception of Fire Department Emergency Apparatus,is to be reported to the Central Garage within 24 hours of the occurrence. Advertising on City Vehicles: The only advertising on City-owned vehicles is that which is specifically sanctioned by the City.No other forms of advertising may be placed anywhere on a City-owned vehicle.Examples of advertising not allowed are bumper stickers,license plates on the front of vehicles,dealership logos,decals on windows, specialty vehicle license plates,and promotional items for a particular business,etc. New Vehicle Acceptance and Registration: All vehicles,with the exception of Fire Department Emergency Apparatus,are to be delivered directly to the Central Garage for pre-delivery inspection and acceptance.All appropriate paperwork associated with the acceptance of new vehicles is to be processed directly through the Central Garage. Damage to City Vehicles;Advertising on City Vehicles;and New Vehicle Acceptance and Registration PW-5 Rev.1 Page 2 of 2 PROCEDURE Vehicle Damage: The Central Garage will be responsible for obtaining all estimates for repair.The Central Garage will forward copies of the repair estimates to the department involved,to Risk Management and to the Budget Office.In addition,damage estimated at more than $5,000 shall be reported to the City Manager.The Central Garage will oversee the repair operations and notify the department upon completion. New Vehicle Acceptance and Registration: The Central Garage will,in conjunction with Fleet Maintenance,process any and all paperwork necessary to properly register the new vehicles.The Central Garage will provide Risk Management with the appropriate paperwork for inclusion of the new vehicle into the City's insurance program and for deletion of any vehicles as appropriate from said coverage.
